This Refund & Cancellation Policy explains how cancellations, changes and refunds work for flights booked through AirHelpDesks. It forms part of our Terms & Conditions.

In brief

The airline's fare rules decide whether a ticket can be cancelled, changed or refunded. We handle the request with the airline for you and keep you updated, but we cannot override the airline's decision.

01Airline Fare Rules Come First

Every ticket is sold under the airline's fare rules, which set out whether it can be cancelled or changed, what penalties apply and how any refund is paid. We explain the key rules before you book.

  • Many economy and promotional fares are non-refundable. Cancelling may return only some government taxes, or nothing at all.
  • Some fares cannot be refunded in cash but can be cancelled for an airline travel credit or future travel voucher, which must be used under the airline's conditions and before it expires.
  • Flexible and premium fares usually allow refunds or changes for a lower penalty, or none.
  • Taxes, fees and penalties are set by the airline and governments, not by AirHelpDesks.

0224-Hour Cancellation Window

For many flights to, from or within the United States, booked at least seven days before departure, airlines allow you to cancel within 24 hours of booking for a full refund. If your ticket qualifies, call us as soon as possible and within that 24-hour window, and we will cancel it and request the refund for you.

Whether a booking qualifies depends on the airline, the route and the fare type, so please confirm with our agent.

03AirHelpDesks Service Fees

Any service fee we charge covers the work of searching, booking and supporting your trip. It is shown to you before you pay.

  • Service fees are non-refundable once your ticket has been issued, even if the airline refunds the fare.
  • If we cancel your booking within the 24-hour window above, or if the ticket is never issued, we refund our service fee in full.
  • Handling a change, cancellation or refund request after ticketing may involve an additional service fee, which we always tell you about before going ahead.

04How to Cancel a Booking

To cancel, call us on +1 (818) 237-5972 or email info@airhelpdesks.com with:

  • Your airline confirmation code (PNR) or e-ticket number.
  • The full name of the lead passenger and the names of everyone to be cancelled.
  • Whether you want a refund or a travel credit, where the fare allows a choice.

Please contact us before the scheduled departure time. If you do not cancel before departure and do not take the flight, it is usually treated as a no-show and the ticket may lose all of its value, including any return or onward flights.

05Changing Your Booking

Changes to dates, times, routes or cabin class depend on the fare rules. When a change is allowed you will normally pay:

  • Any airline change penalty.
  • Any difference in fare between your original ticket and the new one.
  • Any difference in taxes.

We will give you the full cost before making the change, and nothing is changed until you approve it. If the new fare is lower, the airline may not refund the difference.

06Name Corrections and Booking Errors

Please check every passenger name and date of birth as soon as you receive your itinerary. Airlines often allow a minor spelling correction, but most do not allow a ticket to be transferred to another person. Where the airline requires the ticket to be reissued or rebought because details were entered incorrectly, the extra cost is the customer's responsibility.

If the error was ours, we will correct it at no cost to you.

07Airline Cancellations and Schedule Changes

If the airline cancels your flight or makes a significant change to its schedule, we will contact you with the options the airline offers. These usually include:

  • Rebooking on another flight at no extra fare.
  • A full refund of the unused ticket, including when you choose not to travel because of the change.
  • A travel credit for future use.

Under US Department of Transportation rules, you are entitled to a refund when an airline cancels or significantly changes a flight to or from the US and you choose not to travel. Our agents will help you with this request.

08How Long Refunds Take

When the airline approves a refund it is returned to the original form of payment. We submit refund requests promptly, but the time it takes depends on the airline, the payment processor and your bank. Card refunds often appear within 7 to 20 business days of approval, although some airlines take longer.

Airline credits and vouchers are usually issued by the airline directly, under the airline's own conditions.

09Billing Questions and Disputes

If a charge looks wrong or a refund has not arrived, please contact us first. Most questions can be sorted out quickly once we check the booking with the airline.

Raising a chargeback with your bank while a refund or change is being processed can freeze the booking and delay the outcome, because the airline may suspend the ticket while the dispute is reviewed.
